Sending with proof
- Einschreiben Einwurf (registered, dropped in letterbox, about €2.35 + postage): proves delivery date. Good for cancellations.
- Einschreiben mit Rückschein (return receipt): signature of the recipient.
- For legal deadlines, delivering by hand with a stamped copy (Eingangsstempel) or sending by fax (still accepted by many authorities) gives the strongest proof.
Phone calls
- Start with: "Guten Tag, mein Name ist …, ich rufe an wegen …" (I'm calling about …), and give your case or customer number immediately.
- Spell names with the German spelling alphabet. The official version (DIN 5009) uses cities: A wie Aachen, B wie Berlin, C wie Chemnitz, D wie Düsseldorf… The traditional names (Anton, Berta, Cäsar…) are still widely understood.
- Ask for the person's name, and write down the date and what was said. Phone promises aren't binding — ask: "Können Sie mir das per E-Mail bestätigen?"
